Shopify ERP: how it works and when your store needs one

Connect Shopify to an ERP through a dedicated connector, and make the ERP the source of truth for stock, purchasing, warehouse work and finance. That keeps inventory and order fulfillment intact, because Shopify runs the storefront and checkout and sells from the stock numbers the ERP sends.
That setup is what a Shopify ERP means in practice: one back office system behind the store that every channel reports into. Get the data ownership right, and orders keep shipping on the day you switch.
This guide shows the signs your store has outgrown native tools, using Shopify's own documented limits. It also walks through five connection steps and real connector costs. Finally, it shows how Prim.io fits behind your store, starting with built-in AI and backed by an all-in-one ERP, BI and CRM built for ecommerce.
What is a Shopify ERP?
A Shopify ERP is the back office system connected to your Shopify store that owns stock, purchasing, production and finance. Shopify sends it every order, and the ERP sends back the stock numbers the store should show.
Shopify draws the same line in its own Shopify ERP software guide. The guide describes Shopify as the commerce platform for customer-facing selling and the ERP as the system for back-end operations. So if you are asking "is Shopify an ERP?", Shopify's own answer is no.
What Shopify does and what the ERP does
Shopify and the ERP each work best with one clear job list. Shopify handles everything up to the paid order, and the ERP handles everything after it.
When does a Shopify store need an ERP?
A Shopify store needs an ERP when high order volume and several warehouses start causing stock errors, or when you start making your own products. Many brands assume Shopify will handle every inventory and order workflow forever, and that assumption breaks first in the warehouse.
Shopify's own help docs explain why. Shopify caps active locations by plan: 2 on Starter, 10 on Basic, Grow and Advanced, and 200 on Shopify Plus, per Shopify's location setup guide. Apps that stock inventory for you, such as 3PL and fulfillment services, count as locations but not toward that cap. Each location's inventory is tracked separately and cannot be shared or pooled, according to Shopify's multi-location inventory guide.
Order routing adds a second problem. If no single location can fulfill an order, Shopify splits it or the highest-priority location oversells, per Shopify's fulfillment priority docs.
Picture a US brand with a warehouse in New Jersey and a 3PL in the Netherlands for EU orders. A customer buys two items, and each one is only in stock at a different site. The order ships in two boxes, or one location sells stock it does not have.
The table below lists the signs that native tools are no longer enough. If two or more sound familiar, it is time to plan the switch.
How do you connect Shopify to an ERP without breaking workflows?
You connect Shopify to an ERP without breaking workflows by settling data ownership first and moving stock control only after testing. A Shopify ERP integration follows five steps, in this order.
Step 1: map which system owns each type of data
Mapping data ownership means choosing one master system for each type of data before anything connects. When two systems both edit the same stock number, neither number can be trusted.
Write this map down and share it with your warehouse and customer service teams. Everyone should know where to fix a wrong number.
Step 2: clean your SKUs and barcodes
Cleaning SKUs means giving every product variant one unique code that matches in Shopify and in the ERP. If the codes differ, neither system can tell that two records describe the same product.
Export your Shopify products to a spreadsheet and sort by SKU. Remove duplicates and fill in blanks. Then add barcodes for every item the warehouse scans.
Step 3: set up warehouses and order routing
Setting up warehouses means creating each warehouse or 3PL as a location in the ERP and deciding which one ships which orders. Write the routing rules in plain words first, for example "EU orders ship from the EU 3PL."
Inside each warehouse, add bins so pickers know the exact shelf for every item. Turn on batch and expiry date tracking for products like skincare, and serial numbers for electronics.
Step 4: connect and test orders in parallel
Testing in parallel means running orders through the new connection while your current process still runs, then comparing both results. Check that each order reaches the ERP with the right items, prices, discounts and shipping address.
Then test the reverse direction. Change a stock count in the ERP and confirm Shopify shows the new number. Include the hard cases too: partial refunds, bundles, discount codes and orders shipping to another country.
Step 5: go live with a planned cutover
Going live means moving stock ownership to the ERP on a set date, right after a final stock count. Pick a quiet sales day and count every warehouse that morning.
From that moment, stock edits happen in the ERP only. Watch the first two weeks of orders closely and fix any SKU that fails to match.
How does Shopify inventory sync with an ERP?
Shopify inventory sync with an ERP runs in two directions: orders flow into the ERP, and stock levels flow back to Shopify. The ERP stays the master record, so Shopify sells from the same number your warehouse sees.
With Prim.io, the native Shopify connector provides "automatic synchronization between Shopify and Prim.io," as shown on the Prim.io integrations list. When a sale lands, the warehouse knows and the stock count updates in one place.
This setup closes the gap in Shopify multi location inventory. The ERP holds stock per warehouse and per bin, so you see the total in one view.
How do webshop connectors work and what do they cost?
A webshop connector is the link between one online store, such as Shopify or WooCommerce, and the ERP. In Prim.io, webshop connectors are paid add-ons priced at €30 per month.
Prim.io integrates with Shopify and 53 other native platforms, so Shopify becomes one channel among many. Store, marketplace and courier connectors are priced per connector (€20 to €50 per month); finance connectors are free.
Connectors sit on top of a plan. Prim Plus is €180, Prim Pro €540 and Prim Enterprise €1,710 per month, billed annually, excluding VAT, with 3, 5 and 15 users included.
For example, Prim Plus with one Shopify store and one courier adds up to €230 per month in list prices, excluding VAT. Check Prim.io plans and connector pricing for the current numbers.
Do Shopify Plus stores need an ERP?
Shopify Plus stores need an ERP for the same back office reasons as any growing store: purchasing, production, warehouse bins and finance. Shopify Plus raises the active location limit from 10 to 200, which helps when you add warehouses or retail stores.
Each of those locations still tracks its own stock separately, per the Shopify inventory guide linked above. A Shopify Plus ERP setup gives you one master stock record across all of them, plus the supplier and finance work behind the store.
Prim.io handles that scale today. Maxxmart runs 30 legal entities and 50+ retail stores on Prim.io, with multi-company setup built in.
How long does Shopify ERP integration take?
Shopify ERP integration with Prim.io takes about 6 weeks on average, 5 to 8 weeks depending on complexity. Your number of warehouses and connectors, plus how clean your product data is, decides where you land in that range.
Onboarding is a one-time fee of €1,300 on Prim Plus and Prim Pro, or €3,900 on Prim Enterprise. Treat the timeline as an average. Clean SKUs and a written data ownership map are the two things you control that keep it short.

What should you look for in an ERP for Shopify?
An ERP for Shopify should hold one master stock record across every warehouse and connect to your store through a native connector. Use the criteria below when you compare options for the best ERP for Shopify stores.
- A native Shopify connector with a published monthly price
- Multi-warehouse stock with bins, batches, serial numbers and expiry dates
- Purchasing with landed cost, so margins include freight and duties
- Manufacturing with bills of materials if you make or bundle products
- Per-connector pricing for the marketplaces and couriers you actually use
- A go-live estimate in weeks, written into the proposal
- Clear answers on EU VAT and US sales tax, and which parts stay with your accountant
Check where invoices end up, too. Prim.io's accounting add-on works only in Bulgaria. Everywhere else, Prim.io exports invoices to local accounting software, for example QuickBooks, and your accountant handles VAT or sales tax from there.
Shopify ERP FAQ
The Shopify ERP FAQ below answers five questions brands ask before they connect a store. Each answer starts with the short version.
What is a Shopify ERP?
A Shopify ERP is the back office system connected to your Shopify store that owns stock, purchasing, production and finance. Shopify runs the storefront and checkout, then sends each order to the ERP. The ERP sends accurate stock levels back, so every warehouse and channel works from one record.
Do I need an ERP for Shopify Plus?
Shopify Plus stores need an ERP once purchasing or multi-warehouse stock outgrows spreadsheets. Shopify Plus allows up to 200 active locations, and Shopify tracks each location's inventory separately. An ERP holds one master stock record across all locations and adds purchasing, production, warehouse and finance workflows behind the store.
How does Shopify inventory sync with an ERP?
Shopify inventory sync with an ERP runs in two directions: orders flow from Shopify into the ERP, and stock levels flow back to Shopify. The ERP stays the master record for stock. Prim.io's native Shopify connector provides automatic synchronization between Shopify and Prim.io, so your team edits stock in one place.
How much does the Prim.io Shopify connector cost?
The Prim.io Shopify connector costs €30 per month as a paid webshop add-on on top of your plan. Store, marketplace and courier connectors are priced per connector (€20 to €50 per month); finance connectors are free. Plans from €180 per month, billed annually, excluding VAT.
How long does Shopify ERP integration take?
Shopify ERP integration with Prim.io takes about 6 weeks on average, 5 to 8 weeks depending on complexity. Extra warehouses and messy product data push it toward the longer end. Onboarding is a one-time fee of €1,300 on Prim Plus and Prim Pro, or €3,900 on Prim Enterprise.
Your Shopify ERP checklist
Your Shopify ERP checklist has four items to finish before you sign anything. Shopify stays your storefront, and the ERP takes over stock and the back office.
- Review current Shopify order volume and inventory discrepancies.
- Budget for the €30 per month webshop connector add-on.
- Assess warehouse bin management and purchasing needs alongside Shopify.
- Prepare your data for a standard go-live timeline of about six weeks.
Once those four are done, test the setup with your own products. A demo account lets you see your orders and stock in one place before you commit.
