A new mobile warehouse environment, more intuitive lists and reports, and important improvements to accounting and warehouse operations.
Key highlights
This update introduces a new mobile environment for warehouse operations, standardizes the way lists and reports work across Prim.io, and adds new capabilities for managing sales, payments, items, and deliveries.
The release also includes important fixes related to accounting entries, inventory, cost calculations, and exports. We recommend paying particular attention to the first section.
Important fixes
Accurate accounting entries
We resolved an issue that could, under certain conditions, create multiple identical journal entries for the same document row. We recommend that accounting teams review previous periods for duplicate entries.
Cancelling warehouse documents
When the same warehouse document was cancelled twice at the same time, the goods could be returned to stock twice. The system now prevents the operation from being processed more than once.
Cost calculation during stocktaking
When stocktaking changes the quantity, the value is now recalculated based on the updated quantity. The direction in which the cost difference is calculated has also been corrected.
“Write-offs” and “Shortages” in the Materials Consumption report
The data in these two columns was previously reversed. Each column now displays the correct type of consumption. Please keep this in mind when comparing the report with versions generated before the update.
Additional fixes
- Cash receipts and invoices can no longer differ by one cent due to rounding.
- Printed invoices no longer display a discount generated solely by rounding.
- Reimporting a bank statement for an overlapping period no longer duplicates bank fees.
- The “Office” filter in sales reports now filters the results correctly.
- The Goods in Transit report now includes only transfers that have not been completed.
- The list of documents in progress now displays data only for the currently selected company.
- SAF-T files now include the business partners referenced in journal entries and calculate balances cumulatively by month. This resolves NRA rejections caused by missing business partner information.
New mobile environment for warehouse operations
Warehouse employees can now perform their main tasks directly from a smartphone or mobile terminal. The mobile version is accessed from Warehouse Dashboard and automatically adapts to the device being used.
Core operations
- Stock issue and receipt by document – the system guides the operator to the appropriate location and batch, checks availability, and distributes quantities across batches and serial numbers.
- Picking – the operator is guided by route, location, and batch and can process quantities in multiple steps.
- Packing – a single field can be used to scan a document, sale, or item. The system prevents a document that has already been packed from being processed again.
- Transfer, counting, and write-off – all operations can be performed directly from the mobile device.
- Quick scan – the scanned code is recognized as a document, item, batch, or location, and the relevant information is opened automatically.
- Available and requested quantities – quick filters are available, together with the option to request a quantity directly from the warehouse floor.
Continue exactly where you left off
Every processed quantity is saved immediately. If the device locks, the connection is interrupted, or the page is refreshed, the operation can continue from the last saved step—even from another device.
Barcode scanner and camera support
The mobile environment supports external barcode scanners as well as the device camera. Sound and vibration provide immediate feedback for successful and unsuccessful scans. The warehouse, quantity mode, scanning method, dark theme, and other preferences can be configured separately for each device.
More intuitive lists and reports
The way lists and reports work has been standardized across the system.
- Choose which columns to display – a new Columns button lets you show or hide the information you need. The option is also available on mobile devices.
- Compact and detailed filters – the filter remains visible, while the button switches between the main fields and all available criteria.
- Keep the list accessible while a document is open – the list collapses into a narrow panel and can be expanded with one click. Panel sizes can also be adjusted by dragging.
- Consistent date-range selection – preset periods and the From/To fields now work in the same way across all screens.
- Improved dialog windows – double-clicking no longer opens two identical windows, and Esc closes the topmost window.
- Automatic field completion – a required selection field with only one possible value is completed automatically.
- Clearer error messages – errors are displayed next to the relevant field without shifting the rest of the form.
- Direct links to settings – a specific settings screen can be opened in a new tab or shared via a link. The system remembers the last screen used within each module.
- Quick color changes – colors for statuses, numbering sequences, routes, event types, tasks, and other classifications can be changed directly from the list.
- Clearer inactive records – archived and inactive rows are once again displayed in grey.
Warehouse and logistics
Warehouse sessions
Stocktaking sessions are expanded into Warehouse Sessions with the following types: Stocktaking, Write-off, Receipt, Issue, and Request. When completed, the session is converted into the corresponding document. The collected information can be added directly to a stock receipt or stock issue document without being entered again.
Mobile bins and packing area
Mobile containers can be generated using a specified prefix and quantity. The system tracks their contents, assignment to the packing area, and unloading. The packing area is now part of the warehouse rather than a separate warehouse.
Picking lists
“Packing List” is renamed “Picking List”. Creating a list reserves the relevant quantities in the warehouse, while cancelling it releases them. A new picking list includes only quantities that still need to be packed. Mandatory picking before packing can also be enabled where required.
Intercompany transfers
Completed intercompany transfers can now be reversed by selected rows or items. The system shows which sales will be credited, calculates the current totals, and remembers the settings for each pair of companies. The transfer has an editable record and is visible to both parties.
Additional improvements
- The Materials Consumption report now includes a breakdown by financial category and separate views by documents and document rows.
- Stocktaking surpluses can be used to reduce shortages.
- New settings are available for confirming warehouse operations, mandatory picking, production warehouses, picking from unallocated stock, and automatic batch and location allocation.
- An expiry warning date can be calculated for each batch based on the item category.
- During stock receipt, the system suggests a location where the item is already available or, if none exists, the last location used.
- A warning is displayed before stocktaking if any mobile bins still contain stock.
- A batch can be entered for every type of stocktaking control, and the stocktaking list can be filtered by item.
- The additional-cost allocation preview now shows the exact values that will be recorded. Any rounding remainder is assigned to the row with the highest value.
- A new “By available quantity” loading option has been added, where available quantity equals stock on hand minus reserved quantity.
- “Issue for internal use” is now part of the standard Stock Issue process and is selected through an expense category. Existing documents, numbering sequences, and print templates are preserved.
Sales, orders, and quotations
- More flexible sales reversal – the operation can be switched between Return, Replacement, Reversal, Discount, and Error without restarting the process. A reason is required, while fields that are not applicable to the selected case are locked.
- Fulfilment warehouse – sales and orders now include the warehouse from which they will be fulfilled.
- CRM statuses by document type – statuses for orders, quotations, customer orders, and invoices are managed centrally. A status column and filter have also been added.
- Quotations in the main sales list – quotations can be filtered as Active, Successful, or Unsuccessful.
- Item variations in documents – the matrix displays the price and available quantity for each combination, while combinations that do not exist cannot be selected.
- Validation before confirmation – a sale without any document rows cannot be confirmed.
- Amounts in the base currency – documents in a foreign currency also display the equivalent amount in the company’s base currency using the document exchange rate.
- Trade discounts – crediting in “By document” mode has been improved, and the POS filter now works correctly.
Cash, payments, and invoices
- Bulk operations with a selectable scope – an operation can be applied to all filtered results, selected rows, manually entered document numbers, or a list imported from Excel. The system shows which numbers were matched, not found, or ambiguous.
- Bulk payments – up to 500 documents can be paid at once when they belong to the same company and use the same currency.
- Edit issued documents – the business partner, contact person, employee, payment method, due date, document dates, description, and notes can be updated from a single screen. All changes are recorded in the history.
- Clear export rules – cancelled and deleted documents remain visible with zero quantities and amounts. Advance invoices and price adjustments are exported with zero quantities and their actual amounts. A Status column and an option to include actual values have been added.
- Payment settings in the payment dialog – the cash account, POS terminal, and bank account are selected directly in the dialog. The last-used cash account and POS terminal are remembered.
- Consolidated screens – set-off, write-off, and deposit operations are now available in one list with a type filter. Self-assessment and write-off screens have also been consolidated, as have invoice creation from cash receipts and pro forma invoices.
- Cash transfers – a separate list has been added for transfers between accounts.
- Tax-inclusive prices – when a document uses tax-inclusive prices, the gross price is entered directly in the relevant row field.
- OSS report – selecting a company is mandatory because its base currency determines the exchange rates. Advance invoices are included, and the amount of advance used is deducted. A new panel displays the invoices behind the selected row.
- Submitted VAT file archive – the archive is now available to all users with the Accountant role.
- Trial balance – analytical dimensions and the remaining options are now combined in a single filter.
- Financial document statuses – statuses for revenue and expense documents are managed from a single screen under Finance Settings.
Items, prices, and classifications
- Simplified variation management – a classification is assigned to the item and the applicable values are selected. If no values are selected, all current and future values are used.
- Combined variation record – the base item now includes a Variations tab, while movements, sales, and orders display information from all variants.
- Variation prices in a matrix – variant prices can be entered and saved from one screen. Only values that have actually changed are added to the price history.
- Barcode type – each barcode can be assigned a type such as SKU, EAN, or ASIN. The item code is displayed as a protected system barcode. Bulk import can add or delete barcodes or replace the entire list.
- Stock issue method – FIFO, LIFO, or operator selection can be configured for each item. This setting determines which batch is suggested during stock issue and picking.
- Edit directly from the record – items can now be edited directly from their item record.
- Improved overview chart – the chart is displayed even when turnover is zero and includes both sales and purchases.
- System items such as Unknown Item and Voucher can no longer be modified.
- Promotion and bonus point screens have been consolidated, together with the separate types of internal policies.
Business partners
- The business partner list now displays the number of results, supports Excel export, and includes quick options for active, owned, and archived business partners.
- Change history is also available directly in the business partner edit form.
- The Business Partner History report displays a color-coded status and a direct link to the partner record.
- A VAT number is required when an address is marked as a VAT address.
Printed documents
- A value-only credit note is printed with a quantity of 0 and negative amounts.
- When an expense invoice contains different VAT rates, the applicable rate is shown on each row.
- The equivalent amount in the reporting currency is printed only on accounting copies, not on the original provided to the customer.
- Delivery terms (Incoterms) and the address have been added to printed sales orders.
- Cash receipt and cash payment documents always display the document number in the heading.
- Set-off protocols also display amounts in the company’s reporting currency.
- Warehouse documents are printed with the title “Goods Receipt”.
Integrations and carriers
- Innoship – the payer of the shipping service can now be configured and defaults to the sender. It can also be changed for an individual shipping label. Cash-on-delivery payments are recorded automatically.
- Econt – pallet dimensions are now submitted in the correct order.
- Delivery to a carrier office – selecting an office is mandatory. Address fields are displayed only for delivery to an address.
- Pigeon Express – if the postcode does not match, the system also searches for the city by name.
- Skroutz – automatic order acceptance and bulk order assembly have been added.
- Amazon – the VAT Calculation Report is now available for the older version of the integration as well.
- Adding an integration – systems are now selected from a gallery grouped by type.
- 3PL – the value of the services is included in the shipment value.
- Expense invoice recognition – the system identifies whether prices include VAT and whether a discount is a percentage or a fixed amount. Foreign invoices without a company registration number can be processed when a VAT number is available.
- Synchronized delivery statuses – carrier statuses can be mapped to your delivery statuses in Prim.io so that shipment progress is reflected automatically in the order.
- New Delivery Statuses screen – the color, linked sales status, notification template, and automated action are managed from one place.
- Automatic payments from carrier reports – when enabled, a missing payment is created automatically when the report is loaded.
Reports, POS, tasks, and targets
- Sales, revenue, and expense reports now use the analytical database and load faster even with large data volumes.
- Write-offs, requests to a central warehouse, and stocktaking counts can be performed from POS by scanning items.
- In retail sales, POS is now a required search criterion and the date selector has been replaced with a period.
- Tasks now include an “Assigned by” filter, a default period of 30 days, and red highlighting for high-priority tasks.
- Events now include a business partner filter, while phone and email details are populated for every event type.
- “Target Rules” is renamed “KPI Targets”. KPI values can be reviewed by month, quarter, half-year, and year.
- Course types can be color-coded for easier identification in schedules.
Changes to existing functionality
Following the update, some functions have been moved or consolidated:
- The built-in help content and User Instructions screen have been removed from the system. Documentation remains available separately.
- Drop Shipping is now managed through the standard order and sales processes; the separate screen has been removed.
- The Analytical Sales Expenses report has been removed.
- “Issue for internal use” is now part of the standard Stock Issue process. Existing documents, numbering sequences, and print templates are preserved.
- Quotations have been moved to the main sales list.
- Sales and expense invoice statuses are configured centrally by document type.
- Price policies have been consolidated under Internal Policies.
- Rental and consignment stock reports have been consolidated under Warehouse Stock – Contracts.
- Revenue/Stock Issues and Expenses/Stock Receipts no longer include export, status and overdue filters, or payment directly from a row.
- Hiding processed rows in a warehouse document remains available in the mobile environment but is no longer available on desktop.
Changes to default results
After the update, some screens may display different results the first time you open them, even if you have not changed any settings:
- Goods Movement – by default, only items with movements during the selected period are displayed.
- Warehouse Replenishment – intercompany sales are no longer included by default.
- Shipping Labels – the “With/Without stock” filter uses updated logic and may return different results.
- Document lists – the “Delivery person” column now displays the contact person.
- Materials Consumption – the “Write-offs” and “Shortages” columns now display the corrected values.
- Reports with column selection – when you disable a column, it is removed not only from view but also from the totals and export.
