Prim.io Release Notes: New ERP Features & Improvements 26/09

Here are the latest improvements and features that become available with the upcoming Prim.io update in September 2026.
General changes to lists and reports
Working with lists and reports across the system becomes more consistent:
- Every list now has a Columns button, which lets you choose which columns are visible. Your choice is saved automatically and kept for next time.
- The filter now stays visible at all times, and the filter toggle switches between a compact view with the main fields and an expanded view with everything available.
- When you open a document, the list behind it no longer disappears - it collapses into a narrow strip. You can expand it again with one click, without closing the document.
- The Period, From and To fields now behave the same way everywhere in the system.
- A required field with only one possible value is filled in automatically.
- Error messages are shown as a hint on the field itself, without shifting the form.
- A double click no longer opens two identical dialogs, and the Esc key closes the topmost open dialog.
Settings can now be opened by direct link
Each individual Settings screen now has its own address, so you can open it in a new tab or share a direct link to it.
Prim.io also remembers the last screen you had open in each module.
Changing colours is easier
Anywhere a nomenclature has a colour assigned, you can now change it by clicking the coloured dot. The new colour is saved immediately - there is no need to open the whole record for editing.
This works for delivery statuses, Sales Order and document statuses, event types, tasks and CRM Accounts.
New "What's new" screen
The first time you sign in after the update, the system shows a dialog with the main changes. The information stays available at any time from your user account menu.
The dialog is not shown on mobile devices.
Important changes to default results
After the update, some screens may show different results the very first time you open them:
- Goods movement will show only items with movements in the selected period by default.
- In Stock loading, Intercompany sales will no longer be included by default.
- The With / Without availability filter in Bills of Lading will return results according to the new logic.
- The Delivery contact column in document lists will show the contact person.
- In Expenditure with materials, the Scrap and Inventory shortages columns will show their correct values. Until now the data in them was swapped.
- In reports with column selection, a column you switch off will not take part in the table, the totals or the export.
- The Payment date column will be filled according to the outstanding amount rather than the document status.
- The For invoicing, Total due amount and Stored-out quantity columns are removed from document lists. The outstanding amounts remain available through the Not invoiced and Due filters.
- The first time you sign in after the update, local screen settings will be cleared. Your personal settings for colour scheme, advanced filter, camera and item-selection columns will be kept.
CRM module
Validation of company and personal identification numbers
Bulgarian company registration numbers (EIK), personal identification numbers (EGN) and foreigner identification numbers (LNCh) are now validated directly in the field, instead of the error appearing only after you save. This validation is not applied to accounts from other countries.
CRM statuses by document type
Statuses are now configured centrally according to the document type - Order, Offer, Sales Order or Invoice.
The status can be changed from the side panel, and matching columns and filters have been added to the lists. It is configured from Document administration, in the relevant document type.
Notification for overdue invoices
Notifications about overdue invoices are sent only to accounts with the Send notifications setting switched on. The setting can be applied to an individual account or to its type.
If no such setting is switched on, no notifications will be sent automatically. Notifications are not sent to archived accounts - the same rule applies to system notifications.
Improvements to the system notification templates
The parameters in the system notification templates for issued invoices and for an approaching payment deadline now work better. When a notification concerns a single document, the parameters for its name, number, due date, amount, currency, office and merchant are correctly replaced with the real values.
When one notification covers several of the account's documents, the document parameters are left empty rather than appearing in the email as unprocessed values such as {{document_num}} or {{document_name}}. The information about the individual documents continues to be shown in the list of operations or in the notification table.
A new parameter {{document_date}} has been added for the document date. The {{for_date_formated}} parameter continues to show the date the notification was sent. The template editing screen now shows all supported parameters, together with a note explaining which of them are used only in a single-document notification.
Tasks and events
An Assigned by filter has been added to the task list. The default period is the last 30 days, and high-priority tasks are marked in red.
For events, a filter by CRM Account has been added. The phone and email are now filled in for every event type, not only for email.
P&S module
Reversal authorisation with an employee code
In the shop settings you can now specify which employees are allowed to authorise Reversal operations. Each of them is given a personal code.
When a cashier without that right creates a Credit Note from the POS, the system asks for an authorisation code.
The authorisation is cancelled if the quantity, the amount, the selected lines, the POS, the reason or the reversal case changes. If no authorising employees are defined for the shop, the process continues to work as before.
Reasons for reversing a Sales Order
In the reversal screen you can now switch freely between the Return, Replacement, Reversal, Discount and Error operations, without starting the process over.
You can also create your own reversal reasons. They are managed from Sales and Purchases → P&S Settings → Sales Order types → Reversal statuses. For each reason you can set your own code, its position in the list, and the code to be sent to the fiscal device.
The selected reversal reason is shown:
- in the Sales Order record;
- in the related warehouse operations and Bills of Lading;
- in the printed documents;
- in the Sales Orders list and its export;
- in the Sales Orders and Bills of Lading reports.
The system automatically creates the built-in reasons Return, Replacement and Error. If you do not add your own reversal reasons, these are the only ones available.
Sales Targets KPI
Target rules has been renamed to Sales Targets KPI. Once you select a report and a year, the available KPIs are shown in a list with values by month, quarter, half-year and year.
Warehouse & Logistics module
Item variations
This new feature makes it considerably easier to create and manage items that come in several variants. Instead of entering 42 separate items for a shoe in 7 colours and 6 sizes, you create one base item and specify the characteristics it varies by. Prim.io generates all the combinations for you.
The base item holds the shared information - name, category, brand, characteristics, units of measurement and images. The real items are the individual variations, for example "Shoe, Black, 37". They have their own availability, barcodes and SKU codes, and are used in Sales Orders, purchase orders and warehouse documents.
The feature is switched on from General settings → Item variations. When you create an item you tick With variations, add the characteristics that apply and select their values, for example colour and size. The system creates up to 500 combinations at once and generates their names and SKU codes automatically.
When you add the base item to a Sales Order or a purchase order, a matrix with all variations opens. You enter the quantities you need against the relevant combinations, with their availability shown alongside. Once you confirm, the selected variations are added to the document as separate lines. An individual variation can also be added directly by its barcode or SKU.
Prices can be managed in two ways. In Without prices mode you set a single price on the base item, which applies to all variations. With the Variations with prices setting switched on, each variation can have its own price. The prices of all variations are entered in one shared matrix and saved with a single confirmation.
All variations are managed centrally from the base item record. Changes to the shared data are applied automatically, and when you add a new value Prim.io creates the new combinations required. This keeps your item information current without editing each variation separately.
Several barcodes on one item
You can now add several barcodes to a single item and set the type of each one, for example SKU, EAN or ASIN. This allows the same item to be identified by different codes depending on how you work or which external system you use.
The Item SKU is shown automatically as the first, built-in barcode. It is the primary identifier and cannot be deleted or moved.
For items with variations, barcodes are managed separately for each variation. The base item holds no barcodes. The same rule applies when working through the API and when importing from Excel.
Minimum order quantity and order step
The link between an item and a supplier can now carry:
- an ordering unit of measurement;
- a minimum quantity;
- an order step.
Minimum quantity is the smallest quantity that can be ordered from that supplier. Order step sets the interval by which the quantity can be increased.
For example, with a minimum quantity of 12 and a step of 6, the permitted order quantities are 12, 18, 24, 30 and so on. When you create a purchase order to that supplier, Prim.io limits the choice to the permitted values.
On import from Excel, through the API, or in a document created from a Stock Request, the quantity is automatically raised to the minimum and rounded up according to the step. Any corrections made are shown in the interface or returned in the API response.
Item store-out mode
An item can be set to FIFO, LIFO or operator's choice. The setting determines which batch is offered on store-out and during picking.
Reversing an Intercompany transfer
Completed Intercompany transfers can now be reversed:
- by selected lines with a manually entered quantity;
- by items, with the system distributing the requested quantity automatically;
- after reviewing the Sales Orders that will be credited.
The Intercompany transfer now has an editable record and is visible from both sides of the deal.
Change in how scrap is recorded
The standalone Scrap Order and Scrap Dispatch Order operations are being discontinued. Scrap will be recorded through the new process using a warehouse session of type Scrap.
For warehouse staff, the operation in the mobile app continues to be called Scrap. The change affects how the documents are created and processed in the system, not what the operation is called in the mobile interface.
Existing documents keep their numbers. The numbering series for the old operations will be deactivated so they cannot be used for new documents.
The conversion is started from a temporary panel in Finance Settings → Settings → Accounting financial categories for warehouse operations, where you also select the financial category to use for Expenditure with materials and Inventory shortages. The panel is visible only while there are still documents in the database waiting to be converted.
Check before creating a Bill of Lading
During packing, the system now checks in advance whether the warehouse is under stocktake and whether the user has accountable-person rights.
This stops the process before the Bill of Lading is created with the courier, and shows the real reason for the interruption.
Expenditure with materials
The Expenditure with materials report gains a breakdown by financial category and two new views - by document and by line. From either of them you can open the relevant record directly and narrow the filter with one click.
You can also now have inventory surplus from a stocktake reduce the recorded shortages.
Delivery statuses
A new Delivery statuses screen has been added to Warehouse & Logistics settings, where you can create and manage your own statuses for tracking shipments.
For each status you can set:
- a colour, to make it easier to recognise;
- a related Sales Order status;
- a template for notifying the customer automatically;
- a hook to be triggered when the status changes.
In the courier system settings you can map each courier status to the corresponding delivery status in Prim.io. As the shipment moves, the status is then updated automatically, including on the related Sales Order.
Warehouse sessions
The stocktake session is being extended into a warehouse session, which can be of the following types:
- stocktake;
- scrap;
- acceptance;
- store-out;
- stock request.
On completion, the session is converted into the corresponding document. The data collected in the warehouse can be fed straight into a Store-in or Store-out document, without entering it a second time.
Mobile bins
The warehouse can now create mobile containers by prefix and count. The system tracks which container the goods are in, and allows it to be assigned to the packing area or unloaded.
A quick filter by mobile bin has also been added to warehouse availability.
The packing area becomes part of the warehouse
The packing area is now managed as part of the warehouse rather than as a separate warehouse. Prim.io creates and maintains it automatically.
Picking Lists
Packing list has been renamed to Picking list.
When a Picking list is created, the goods are blocked to the warehouse, and released again if it is cancelled. A new list includes only the lines that still have a quantity left to pack.
Mandatory picking can be switched on in the warehouse settings, which requires the document to be picked before it can be packed.
Finance & Accounting module
Mass operations with a choice of scope
When you start a mass operation you can now decide which documents it applies to:
- all documents in the result;
- only the selected rows;
- a manually entered list of numbers;
- numbers from an Excel file.
The system shows how many numbers were recognised, not found, or ambiguous.
Mass payment
You can now pay up to 500 documents at once. The documents must belong to the same company and be in the same currency.
The Write-off action has also been restored in mass operations. Using the Write off up to amount field you can set a maximum outstanding amount for which a Write-off Protocol is to be created.
Editing the parameters of an issued document
A new shared Editing of parameters screen lets you change the following at the same time:
- CRM Account and contact person;
- employee;
- payment method;
- date of payment;
- tax date;
- accounting date;
- description;
- note.
The document history records which parameters were changed.
Payment settings
The cash account, the POS terminal and the bank account are now selected directly in the payment dialog. It also shows the status of the fiscal device when the payment is being taken through one.
The cash account and POS you used last are remembered.
New "Money Transfers" list
Movements between accounts are now separated into their own list, which makes them easier to follow.
Statuses of financial documents
A shared Financial document statuses screen has been added to Finance Settings. The statuses of income and expense financial documents are managed in one place, in separate tabs.
Changes to the OSS report
The company becomes mandatory in the filter, because its currency determines which exchange rates are used.
Advance invoices are now included in the report, and the used part of an advance is deducted. A new panel shows the financial documents included in the selected row.
Archive of submitted VAT files
The archive is now available to every user with accounting rights, not only to the system user.
API
The following improvements have been made:
- items can be found by code or by SKU;
- characteristics can also be recognised by code;
- filters on item retrieval are applied and combined correctly;
- a price request for several SKUs returns a price for each of them;
- a reversal can be created without a financial document, and with immediate or deferred store-in.
Note: for a reversal through the API, the date you submit applies only to the reversal itself. The financial document, the warehouse operation and the payment keep the current date. The combination of "Pay now" and "Without a financial document" returns an error.
Integrations
Shopify
Quantity synchronisation has been adapted to the new version of the Shopify interface. Errors returned by Shopify are now written to the synchronisation log.
Skroutz
Automatic order acceptance and mass packing have been added.
Innoship
With cash on delivery, the transport service is no longer charged to the recipient a second time. Who pays for the transport service can be set in the settings and changed for an individual Bill of Lading.
Cash-on-delivery payments are now recorded automatically.
Econt
The submission of length, width and height for pallet shipments has been corrected.
For delivery to an office, selecting the office is now mandatory. The address fields are shown only for delivery to an address.
Pigeon Express
The settlement can now be recognised by name when the postcode does not match or has not been filled in.
The Sales Order number is submitted in the external reference field of the Bill of Lading. A check on settled cash-on-delivery payments has also been added.
DPD
Mass generation of Bills of Lading now respects the integration settings, including "Open before payment" and "Test before payment".
WooCommerce
A bundle that repeats the same item no longer creates empty lines.
Amazon
The VAT Calculation Report is now available for the older version of the integration as well. Invoices for split Sales Orders from the VAT report can be issued from a separate office.
EasySales
Order synchronisation now supports payments with eMAG vouchers.
